Privacy notice for quote inquiries

This notice covers the Otematik quote and requirements form. As stated in our existing corporate introduction, Otematik is an AI brand by the Basamak Bilişim team. For questions about your inquiry and information in this form, contact our team at +90 850 311 51 42.

Information collected and purpose

We record your name, optional company name, at least one contact method (email or phone), requirements, related product/category, language and submission time. The purpose is to review your inquiry, define a suitable solution scope and discuss a quote. Sensitive personal data, identity documents and payment information are not requested; please do not include them in your description.

A privacy notice is not marketing consent

This form does not collect marketing consent or create a marketing subscription. The notice version and the time it was presented are stored with the inquiry.

Access and notification

The inquiry is stored in the Laravel database and reviewed by authorized administrators in the management panel. When email notifications are configured, the message contains the inquiry number and an authorized panel link instead of the visitor’s contact details and requirements. A notification failure does not delete a saved inquiry. Hosting and email services may maintain their own technical logs.

AI solution discovery

Submitting the discovery form sends your business requirements and public catalog scope to OpenAI through our server to prepare a solution proposal. Do not include personal, sensitive, customer or confidential business information. This may involve transfer to a service provider outside your country. Requests use store: false; this does not remove every provider security/technical retention policy. The provider’s applicable data policies also apply.

Your requirements and result are encrypted in server cache, accessible only to your session for up to 1800 seconds. Expired results cannot be accessed; physical cleanup of expired cache files depends on server operations. No product or sales inquiry is created before you submit a quote form. The edited requirements and solution summary then become part of the existing inquiry record. Raw queries are not included in advertising/analytics events or application logs.

Customer account and discovery history

Free catalog discovery requires no account. When AI analysis is needed, a one-time email code verifies your account. Email and discovery history are encrypted with the application key; an authorized operator with that key can technically decrypt them. A customer account grants no administrator access. Codes expire after 10 minutes; requirements held during verification expire after 15 minutes. Codes are not written to application logs; the email provider may retain delivery records. Registration is not marketing consent.

You can access your latest 100 discoveries for 30 days. Expired items immediately become inaccessible and are physically deleted in small batches by scheduled hourly automatic cleanup. Service interruptions or a backlog can delay cleanup and require operational intervention. Deleting a discovery also invalidates its result/quote links and open quote forms. You can delete individual discoveries or reverify recently to delete your account and history. Existing encrypted session results expire within 1800 seconds; signing out invalidates links tied to that session. Previously submitted quote inquiries are not automatically deleted with the account; the inquiry deletion/contact process below applies.

Security and spend controls

Paid AI analysis uses daily/monthly reservations and security quotas. These records contain no raw requirements, contact details or AI responses; keyed requirement digests and keyed customer/direct-peer network identities are used. These are not guaranteed anonymous and are used only to prevent abuse, duplicate charges and budget overruns. Replay digests last 24 hours; daily security counters last at most two days and monthly counters until the day following that month ends. Hourly bounded cleanup can be delayed by operational interruptions. Deleting an account or history does not reopen the remaining security quota. Administrators see only system-wide totals. If discovery cache is unavailable, requirements may be held encrypted and bound to the session for ten minutes for a manual quote.

Demand signals

Discoveries from verified accounts are classified into fixed business-need categories. Raw searches, contact details, custom system names and personalized AI text are not transferred to the shared report. Retractable private contribution records remain linked to your history; these are not anonymous personal records. Deleting history or an account deletes its contributions. Only verified administrators can see coarse ranges for groups supported by at least five accounts in the last 28 completed days, counting each account once. Exact totals, search text and small groups are not shown. This is not a differential privacy guarantee. Contributions are retained for at most 30 days; processing or cleanup interruptions require operational attention. Analytics do not automatically publish products or pages.

Retention and your requests

In this version, inquiries are not deleted automatically. Authorized administrators can permanently delete closed inquiries individually. Contact our team through the channel above to request information, corrections or deletion. Your identity may need to be verified securely when handling your request.
